POSITION SUMMARY

The Front Desk Assistant (FDA) is the primary point of contact for visitors, students, and faculty, ensuring seamless program operations at The VIVA School. This role requires exceptional communication, a welcoming demeanor, and a solid understanding of the organization’s protocols. By providing top-tier customer service and administrative support, the FDA plays an integral part in fulfilling our mission and creating a positive experience for everyone who walks through our doors.

RESPONSIBILITIES

Responsibilities include but are not limited to:

  • Greet and direct guests, answer and forward phone calls, operate the door-release system, and maintain a clean, welcoming lobby.
  • Provide accurate details on schedules, programs, and events; reference and communicate studio/office reservations; reinforce code of conduct policies as needed.
  • Update and store daily sign-in sheets, record attendance in the student management system (SMS), handle data entry, print class materials, process cash payments, and coordinate inventory needs.
  • Complete Daily Studio Occupancy Checklist, assist with set-up of class equipment, address minor injuries, help distribute student medications (when requested), and support efficient student dismissal.
  • Partner with staff, faculty, and management to implement policies, ensure smooth operations, and address internal inquiries or concerns.

QUALIFICATIONS

The ideal candidate will have the following qualifications and abilities:

  • High school diploma or equivalent (College degree or working towards a college degree preferred).
  • Previous experience in customer service, administration, or a related field.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Strong organizational skills with attention to detail.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Proficiency in using office software, such as Google Workspace, Microsoft Office Suite, and other database management systems.
  • Knowledge or interest in dance or the performing arts is highly desirable.
  • Flexibility to work evenings, weekends, and occasional extended hours during peak programming periods.
